Billing & Payment System Information

This document explains our billing process, payment methods, invoicing, and policies.

1. Overview & Billing Model

Raff Technologies operates on a pay-as-you-go model with monthly billing cycles. You're only charged for the resources you actually use during each billing period.

What you can monitor in your Billing Overview:

  • Current Balance: Your available prepaid credits

  • Usage So Far: Current month's consumption with tax information

  • Projected Balance: What your balance will be at month-end

  • Usage Progress: Visual progress bar showing how far through the billing cycle you are

  • Billing Status: Clear message about balance sufficiency and next billing cycle end date

  • Usage Details: Service-by-service breakdown (VM, storage, etc.) with costs and percentages

2. Payment Modes

Our system automatically determines whether your account operates in Automatic or Manual payment mode based on your primary payment method's capabilities.

Automatic Mode

โœ… System charges automatically at the end of each billing cycle
โœ… No action required from you

Automatically detected for:

  • Non-3DS credit/debit cards

  • Google Pay and Apple Pay

  • All wallet-based payments

Manual Mode

โš ๏ธ You are responsible for making payments before balance runs out
โš ๏ธ Requires monitoring your account balance

Automatically detected for:

  • 3DS-enabled cards (requiring authentication for every transaction)

  • Indian cards requiring eMandate authorization

  • ACH and Wire Transfer payments

7-Day Warning System

For manual mode accounts, we monitor your balance daily. When your current balance will run out within 7 days (based on usage patterns), you'll receive daily email notifications reminding you to add funds.

Important: Payment mode is determined by your primary payment method. You can change your payment mode by updating your primary payment method in the Payment Methods tab of your Billing section.

3. Payment Methods

Accepted Payment Types

We accept all major payment methods:

Cards (All Types)

  • Credit cards (Visa, Mastercard, American Express)

  • Debit cards

  • Prepaid cards

  • Cards with or without 3D Secure authentication

Digital Wallets

  • Google Pay (always automatic mode)

  • Apple Pay (always automatic mode)

Bank Transfers (for eligible customers)

  • ACH transfers

  • Wire transfers

Payment Method Validation

When you add a new card or wallet payment method, we perform a $1 validation charge to verify the payment method is active and valid. This charge is immediately refunded after successful validation. This process ensures your payment method will work when needed for actual billing.

Managing Payment Methods

Access the Payment Methods tab in your Billing section to:

  • Add new payment methods (cards, Google Pay, Apple Pay, ACH/Wire)

  • Set your primary payment method - this determines whether you're in automatic or manual payment mode

  • View and manage secondary payment methods

  • Remove unused payment methods

Changing Your Payment Mode: To switch between automatic and manual payment modes, change your primary payment method in the Payment Methods tab. The system will automatically detect the new payment mode based on your new primary method.

Make Payment

Use the prominent Make Payment button (available on all billing pages) to:

  • Add funds when you receive 7-day warnings (manual mode)

  • Top up your balance before it runs out

  • Make one-time payments to cover usage

  • Add prepaid credits for future usage

Note: Your primary payment method cannot be deleted while your account is active. To remove all payment information, you must close your account.

4. Adding Funds & Making Payments

Prepaid Credits

Add funds to your account anytime through the Billing section. Think of this as prepaid credits that will be applied first to cover your monthly charges.

Make Payment Section

For manual mode users, use the dedicated Make Payment section to:

  • Add funds when you receive 7-day warnings

  • Top up your balance before it runs out

  • Make one-time payments to cover usage

Automatic Payments

If you're in automatic mode, payments are processed automatically at the end of each billing cycle. No action needed from you.

5. Billing Cycle & Usage Tracking

Monthly Billing Cycle

  • Cycle period: 1st to last day of each month (UTC timezone)

  • Usage tracking: Real-time monitoring available in Overview tab

  • Billing calculation: Performed at month-end

Billing Overview Dashboard

Your main billing dashboard provides real-time insights:

Key Metrics

  • Current Balance: Available prepaid credits

  • Usage So Far: Current month's consumption with tax breakdown

  • Projected Balance: Estimated balance at month-end based on usage patterns

Visual Indicators

  • Usage Progress: Progress bar showing billing cycle completion percentage

  • Billing Status: Clear messaging about balance sufficiency and next billing date

Service Breakdown

  • Detailed usage by service type (VMs, storage, bandwidth, etc.)

  • Cost per service with percentage of total usage

  • Real-time tax calculations and subtotals

6. Payment Processing & Tax Calculation

End-of-Month Process

  1. Calculate total usage charges for the month

  2. Apply applicable taxes based on your billing address and Tax ID

  3. Apply prepaid credits first to cover total amount due

  4. Charge primary payment method for any remaining balance (automatic mode only)

  5. Generate invoice after successful payment

Tax Calculation

Taxes (VAT, GST, Sales Tax) are calculated based on:

  • Billing address you provide in your account

  • Tax ID (if provided) for potential exemptions or reverse charge applications

Your responsibility: Maintain accurate billing address and valid Tax ID information for correct tax calculation.

7. Alternative Payment Methods

ACH & Wire Transfer Eligibility

Certain customers may qualify for ACH or Wire Transfer payments. Contact support to inquire about eligibility.

Approved Transfer Process

If approved for bank transfers:

  • Your account will be set to manual mode

  • Monitor your usage and estimated charges

  • Transfer funds to our designated bank account before month-end

  • Include sufficient funds to cover usage + estimated taxes

  • System reconciles payment at billing cycle end

Important: Insufficient or late transfers are treated as failed payments.

8. Automated Warnings & Notifications

Email Notifications

You'll receive email notifications for:

  • 7-day balance warnings (manual mode accounts)

  • Payment confirmations

  • Invoice generation

  • Failed payment alerts

Balance Monitoring

Our system continuously monitors account balances and sends proactive alerts to prevent service interruptions.

9. History & Records

Available Reports

Access comprehensive billing history through the navigation tabs:

Overview Tab (Main Dashboard)

  • Real-time current balance and usage

  • Projected end-of-month balance

  • Usage progress indicator and billing status

  • Service breakdown with costs and tax calculations

Payment Methods Tab

  • Manage all payment methods (cards, wallets, bank transfers)

  • Set primary payment method (determines auto/manual mode)

  • Add new payment methods

  • View payment method status

History Tab

  • Payment Log: Transaction history with IDs, payment methods used, success/failure status, download receipts

  • Invoice Log: Download official invoices with tax itemization and payment confirmations

  • Usage History: Historical usage data with product details for each month, cost breakdowns by service

Settings Tab

  • Update billing address and contact information

  • Manage Tax ID information and validation status

  • Configure notification preferences

10. Failed Payments & Account Status

Payment Failure Consequences

Immediate: New service creation restricted upon payment failure

15 Days Past Due: Account suspended - existing resources may be stopped or become inaccessible

30 Days Past Due: Account and all data permanently deleted (irreversible)

Common Failure Reasons

  • Expired or invalid card

  • Insufficient funds

  • Card issuer decline

  • Transfer delays (ACH/Wire)

Prevention: Keep payment information current and ensure sufficient account balance or card limits.

11. Billing Information & Tax Settings

Billing Address Management

Maintain accurate billing information including:

  • Complete street address

  • City, state/province, postal code

  • Country

  • Tax identification number (if applicable)

Tax ID Validation

  • Enter your Tax ID for potential tax exemptions

  • System validates Tax IDs at end of each billing period

  • Validation status affects tax calculations (reverse charge, exemptions)

  • If Tax ID changes, validation status resets

Current tax rate displayed based on your billing location and Tax ID status.

12. Account Management

Settings Tab

Configure your billing preferences:

  • Update billing address

  • Manage Tax ID information

  • Set notification preferences

  • View current tax rates

Account Closure

To permanently delete your account:

  1. Go to Profile section in dashboard

  2. Select account deletion option

Warning: Account deletion is permanent and will:

  • Terminate all active resources

  • Delete all data (VMs, storage, backups)

  • Remove payment information from our systems

13. Security & Compliance

Payment Security

  • PCI-compliant third-party payment processor

  • No card storage on Raff Technologies servers

  • Secure encryption for all payment data

  • Industry-standard security practices

14. Getting Support

Contact Information

  • Contact Raff Technologies support through official channels

  • Include your account email and transaction IDs when relevant

  • Support available for payment method eligibility questions

Most billing tasks can be completed through your dashboard:

  • View real-time usage and costs

  • Update payment methods and billing information

  • Download invoices and receipts

  • Monitor account balance and payment history
